
Position Summary
The Administrative Specialist is responsible for enrollment, data entry, quality assurance, billing, and front office administration. This position will perform duties of enrollment and data entry for Project SHIELD as well as providing operational support to Sky Ranch Behavioral Services. The Administrative Specialist is responsible for greeting clients, scheduling appointments, answering phones, collecting client information/forms, data entry into the electronic health record and SAMHSA systems, billing, and quality assurance. This position may also assist staff and consultants in data collection activities. This position will be officed as Sky Ranch Behavioral Services and primarily report to the Executive Director. This is an in-office position, Monday through Friday between the office hours of 8am-5pm, with some flexibility to adjust the hours based on the needs and priorities of SRBS.
• The Specialist will be responsible for maintaining enrollment data in support of eligibility requirements and maintain data collection and entry into the SPARS system based on the evaluation plan and the SAMHSA required measures to be reported in the SPARS system.

• Enter data into appropriate fields, databases, records and files
• Create and organize spreadsheets
• Summarize and compile data for standardized reports
• View and verify confidential or private client information
• Verify data by correctly checking and comparing source documentation
• Organize paper formats, paper backups, and material source files as needed
• Ensure completion of Data Entry Projects
• Verify insurance eligibility & benefits
• Accurately post charges, promptly submit claims to payers, process sliding fee and client payments, generate billing statements, ensuring a timely and efficient billing process
• Communicate with clients regarding their insurance coverage, copayments, and/or deductibles
• Maintain and update staff credentialing including licensure and insurance panels
• Collect and maintain statistical data and provide data for quality metrics and productivity standards
• Assist in tracking clinical outcomes, service outputs, and compiling grant reports as needed
• Perform a variety of clerical tasks as needed such as answering the phone, scheduling clients, filing, faxing, photocopying, scanning, collating, data entry and maintenance of client files
• Comply and adhere to HIPAA guidelines
• Performs other duties as assigned
Requirements
Extensive knowledge of Microsoft Office Suite, particularly of Excel spreadsheets
Strong attention to detail
Able to quickly and accurately type and enter data
Excellent verbal and written communication skills
Must be organized, detail oriented, flexible, decisive and deliberative
Able to problem-solve, interact well with staff, clients, the public and work with a wide variety of people
Able to handle multiple assignments at once, resolve specific problems quickly, and meet deadlines
In-depth understanding of databases
Experience in billing, CPT codes, insurance verification/eligibility, denials and billing practices, credentialing, and electronic health records systems
Experience in front desk operations, behavioral health clinic experience preferred
Professional phone etiquette with regards to client confidentiality and courteous professional language
